RACE EVENT AGENDA

Track Setup (1 hour before the Race Start Time)
  • We setup the track and electronic equipment in the middle of the room. We need 45' x 10' for the full length track.
  • We bring 2 tables for our equipment and checkered flags to go around the track. You can provide additional decoration and tables as needed.
  • Please wait to setup chairs until after the track is setup.
Registration and Weigh-in (30 minutes before the Race Start Time)
  • As racers arrive, they will check in with you to weigh-in their car.
  • After their car is weighed in, racers will go to the starting gate to get registered into the race.
  • We verify the name is spelled correctly, take a photo of the car and then complete a test run of the car.
Introduction and Race Rules (Race Start Time)
  • When all the racers are checked in, we will be ready to start. We will stop the music and provide you with a microphone to welcome everyone.
  • After your opening introduction, Spencer will give a 10 minute presentation that explains the rules of the race event.
  • Any racers that arrive late, can be added after the presention is completed.
Racing (about 45 - 50 minutes depending on the number of racers)
  • The computer creates a race schedule that ensures everyone races on each lane 1 or 2 times depending on the size of the group.
  • Spencer will announce who is to lining up in the starting gate and the next racers will be displayed on the screen.
  • The average turnaround time for race heats is 45 seconds.
  • Subgroups breaks the large group into multiple smaller groups. This is useful for providing awards. Subgroups are not used during the racing heats.
Group Photo (5 minutes)
  • After the final race heat, all racers are invited to gather in a designated area for a group photo.
  • During this time, results will be printed and the loops will inserted into the track.
Loop Racing aka "The Circles of Death" (5 minutes)
  • Everyone that wants to try the loops will be invited to line up. Racers will be allowed to try 1 or 2 times depending on the number of racers.
  • After the racer is done, they will park their car on the table and wait for the Closing Presentation.
Closing Presention (5 minutes)
  • Spencer will give a short presentation that will prepare them for the award ceremony.
Awards
  • The award presentation is typically done by someone in your group. Spencer is willing to announce the awards if needed.
  • When presenting awards, we recommend starting with the lowest award first and working up to first place award.
    For example, you could give out participation or design awards first. After this, announce 3rd, 2nd, and 1st place winners.
  • Ideas for awards: Paper certificates, trophies, ribbons, candy, Hot Wheel cars, and gift certificates.
